Middle School Athletic Coordinator
Part-Time
Beginning September 2, 2025
Reports to: Interim Associate Director of Athletics
FLSA: Non-exempt, part-time
Salary Range: $22.00 per hour
Hours: The anticipated work schedule is 1pm - 6pm Monday - Friday from September - May ($22/hr) with some flexibility.
Summary:
The Middle School Athletics Coordinator is a part-time position responsible for the administration and coordination of the middle school athletics program for students in grades 5–8. This role is essential to supporting a smooth, professional operation of the middle school athletics program through strong organization, clear communication, and logistical coordination. In addition to managing middle school athletics, the Coordinator will support broader departmental initiatives and assist the Interim Associate Director of Athletics, to whom they report, as needed.
Responsibilities:
- Coordinate all aspects of the middle school athletics program for students in grades 5–8, with a focus on administration and communication. Responsibilities include (but are not limited to): tracking athletic registrations, managing team rosters, coordinating practice and game schedules, and communicating regularly with families regarding game details, locations, and pick-up procedures
- Review all team schedules created by the Interim Associate Director of Athletics, ensuring they are accurately entered and maintained on the athletics website. Confirm alignment with facility availability and transportation schedules, and promptly flag any conflicts with the Athletics & Wellness Center calendar or bus schedule..
- Confirm daily field locations and transportation details with coaches.
- Distribute and update weekly athletics schedules to other school divisions to ensure students, faculty, and staff are informed of upcoming events and team participation.
- Communicate with opposing schools to confirm matchups, game times, and other event details.
- Verify that officials are assigned for all games and notify assignors promptly of any changes.
- Ensure team attendance rosters are up to date and accurate.
- Assist with uniform distribution and tracking across all teams.
- Help coordinate logistics for special events such as Homecoming, February Fury, Sports Awards, and Powder Puff flag football.
- Contribute to the planning and organization of fall preseason and spring training programs.
- Attend middle school and upper school athletic events as needed to provide on-site support, including serving as site supervisor and helping with officiating duties when appropriate.
- Demonstrate an understanding of the Goals and Criteria of Sacred Heart.
- Maintain collaborative and professional relationships with colleagues.
- Engage in ongoing professional growth and development.
- Model leadership and professionalism in interactions with student-athletes, families, staff, and administrators.
- Perform other duties as assigned by the Interim Associate Director of Athletics or the Division Head of Athletics & Wellness.
- Bachelor’s degree
- Experience working in youth athletics or a related program is preferred
- Strong interpersonal skills with the ability to collaborate effectively across diverse groups
- Clear and professional oral and written communication skills
- Highly organized with strong attention to detail
- Demonstrated integrity, reliability, punctuality, and a strong work ethic
- Comfortable using Google Suite applications or similar digital tools
- Ability to work both independently and as part of a team
- Flexibility and willingness to support additional responsibilities as assigned by the Interim Associate Director of Athletics
